At Achrocall, your privacy matters. This policy describes how we handle your data — from account information and call recordings to voice cloning profiles and CRM integrations. We keep things simple: we use your data to run the Service, we don't sell it, and you stay in control.
1. Introduction
Achrocall ("we," "our," or "us") is committed to protecting the privacy of our users and their customers. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Achrocall AI phone agent platform (the "Service"). Please read this policy carefully. By using the Service, you consent to the practices described here.
2. Information We Collect
2.1 Account & Registration Data
When you create an account, we collect your name, email address, company name, phone number, and billing information. We use this information to provide and administer the Service.
2.2 Voice & Call Data
To enable voice cloning, you may provide a voice sample recording. Call recordings, transcripts, and AI-generated summaries are stored as part of the Service. This data is associated with your account and the callers who interact with your AI agent.
2.3 Caller Data
When your AI phone agent handles calls, we may collect caller phone numbers, call duration, timestamps, conversation transcripts, and lead qualification information. You are responsible for informing your callers about data collection practices where required by law.
2.4 CRM & Integration Data
When you connect third-party CRMs (HubSpot, Salesforce, Google Sheets), we access and sync data as directed by your configuration. We only access the data necessary to provide the integration feature.
2.5 Usage & Technical Data
We automatically collect log data including IP addresses, browser type, operating system, pages visited, time spent, and features used. We use cookies and similar tracking technologies to maintain sessions and improve the Service.
2.6 Payment Data
Payment processing is handled by our third-party payment processor (Stripe). We do not store full credit card numbers. We receive and store transaction identifiers, billing addresses, and subscription status.
3. How We Use Your Information
We use collected information to: (a) provide, operate, and improve the Service; (b) process transactions and manage your subscription; (c) generate AI call summaries, transcripts, and lead qualification reports; (d) sync data with your connected CRM systems; (e) send transactional emails, billing notifications, and product updates (you may opt out of marketing communications); (f) detect, investigate, and prevent fraud, abuse, and security incidents; (g) comply with legal obligations; and (h) improve our AI models using aggregated, de-identified data.
4. Voice Data & Cloning
Voice samples and cloned voice profiles are stored securely and used solely to enable your AI phone agent. We do not sell, share, or license your voice data to third parties. Voice data is retained for the duration of your subscription and deleted within 30 days of account termination, unless a longer retention period is required by law. You may request deletion of your voice profile at any time by contacting support@achrocall.com.
5. Call Recordings & Transcripts
Call recordings and transcripts are stored on your account and are accessible to you and your authorized team members. You are responsible for complying with applicable call recording consent laws in your jurisdiction (e.g., one-party vs. two-party consent states). Achrocall recommends disclosing to callers that calls may be recorded. Recordings are retained for 90 days by default; you may adjust this in your account settings or request earlier deletion.
6. Legal Bases for Processing (EEA/UK Users)
If you are located in the European Economic Area or the United Kingdom, our legal bases for processing personal data are: (a) Contract performance — processing necessary to provide the Service you subscribed to; (b) Legitimate interests — to improve our Service, prevent fraud, and maintain security; (c) Legal obligation — where required by applicable law; and (d) Consent — where you have given explicit consent, such as for marketing communications. You may withdraw consent at any time without affecting the lawfulness of prior processing.
7. Data Sharing & Disclosure
We do not sell your personal data. We may share information with: (a) Service providers who assist us in operating the Service (cloud hosting, payment processors, email delivery, analytics) under strict data processing agreements; (b) Third-party integrations you authorize (CRM platforms, telephony providers) as necessary to provide features you enable; (c) Law enforcement or government authorities when required by valid legal process or to protect the rights and safety of users; and (d) A successor entity in the event of a merger, acquisition, or sale of substantially all assets, with prior notice to you.
8. Telephony Sub-Processors
Achrocall uses third-party AI telephony providers to process calls. Call audio and transcripts may be transmitted to and processed by these providers. Each provider operates under its own privacy and security policies. By using the Service, you consent to this processing. We contractually require all sub-processors to maintain appropriate security standards and to process data only as instructed.
9. International Data Transfers
Achrocall is based in the United States. If you access the Service from outside the US, your data may be transferred to and processed in the US. For transfers from the EEA or UK, we rely on Standard Contractual Clauses or other lawful transfer mechanisms. We take appropriate measures to ensure your data receives an equivalent level of protection.
10. Data Security
We implement industry-standard security measures including encryption in transit (TLS 1.2+) and at rest, access controls, regular security assessments, and monitoring for unauthorized access. However, no transmission over the internet or storage system is completely secure. In the event of a data breach that poses a risk to your rights and freedoms, we will notify you as required by applicable law.
11. Data Retention
We retain your account data for the duration of your subscription plus 30 days after termination for account recovery purposes. Call recordings are retained for 90 days by default (configurable in settings). Voice cloning profiles are deleted within 30 days of your request or account termination. Aggregated, anonymized analytics data may be retained indefinitely. We may retain certain data longer when required by law or for legitimate dispute resolution purposes.
12. Your Rights & Choices
Depending on your jurisdiction, you may have the right to: (a) Access a copy of the personal data we hold about you; (b) Correct inaccurate data; (c) Request deletion of your data ("right to be forgotten"); (d) Object to or restrict certain processing; (e) Data portability — receive your data in a structured, machine-readable format; (f) Withdraw consent at any time; and (g) Lodge a complaint with your local data protection authority. To exercise these rights, contact privacy@achrocall.com. We will respond within 30 days. Note that certain data may need to be retained for legal or contractual reasons.
13. Cookies & Tracking
We use essential cookies necessary for the Service to function (session management, authentication). We may use analytics cookies to understand usage patterns. You can control cookies through your browser settings, but disabling essential cookies may affect Service functionality. We do not use third-party advertising cookies or sell your browsing data to advertisers.
14. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If we learn that we have collected information from a person under 18, we will delete it promptly. If you believe we may have collected such information, please contact us at privacy@achrocall.com.
15. California Privacy Rights (CCPA)
California residents have the right to know what personal information we collect, to delete personal information, and to opt out of the sale of personal information. We do not sell personal information. To exercise your California privacy rights, email privacy@achrocall.com with the subject "California Privacy Request." We will not discriminate against you for exercising these rights.
16. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by emailing your registered address or by posting a prominent notice in the Service at least 14 days before changes take effect. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy. We encourage you to review this page periodically.
